What do we mean by health and safety management systems?

This means that management systems to ensure the health and safety of all employees, crew, volunteers and visitors (including audiences and participants) are systematically incorporated into the running of all aspects of the organisation or event.

This approach differs from many past approaches in the entertainment and event industry where health and safety has been viewed as a stand-alone adjunct to the rest of the “core” business and activities of the organisation.

A health and safety management system prepared by HiViz Event Management is tailor-made, with consideration given to the unique environment, risks, work methods and business goals of each organisation or event.

Why manage health and safety?

Below are just some for the reasons why we manage health & safety

1. Dollar costs of health & safety mishaps

  • Loss of income – direct dollar losses from loss of ticket sales and refunds. A serious accident in the workplace could result in a Department of Labour investigation that would close the venue down until such time as the investigation is complete. This can take many days.
  • Fines – these can be considerable, depending on the seriousness of the accident or incident and the degree to which the producer/venue/ contractor/equipment provider/worker is found to be negligent.
  • Damage to venue, equipment or property.
  • Loss of sponsor backing due to negative publicity and negative associations.
  • Replacement costs of injured staff.

2. Reputation

  • Events that are ongoing rely on a good reputation for their continuity, be it people returning in the future or increased participation through word of mouth. Good reputation comes from numerous factors including participant comfort and safety.
  • Accidents that occur in the public domain have a negative impact on both the public and staff who witness them.
  • Maintaining sponsors because of good reputation – sponsors continue to support your event if they know it will generate good publicity for their brand. Conversely, sponsors will keep their distance from events that generate negative publicity.

3. Business continuity

  • Lost of key personnel due to injury or illness can have a hugely detrimental effect on the functioning of the event or business.
  • Similarly loss of equipment, venues or property can have a detrimental effect on the functioning of the event or business.

4. Legal requirements under the Health & Safety in Employment Act (1992)

  • Event producers have legal duties under this act as employers, venue owners and/or principal contractors to ensure the safety and welfare of all workers on their site, be they staff or contractors.
  • These legal duties also extend to protecting the safety and welfare of all visitors on their site, which is where the audiences and event participants come into the equation.

5. Humanitarian reasons

  • At HiViz we believe there is a moral obligation to ensure that every worker and participant that attends your event, venue, function etc suffers no harm or ill-effects as a result of their attendance.
